This Privacy Statement applies to Schouten Zekerheid Holding B.V. and its affiliates. We believe it is important to handle the personal data we receive from you with care. This Privacy Statement therefore tells you how we handle your data. You can read here, among other things, the purposes for which we process your personal data, with whom we share your data and what rights you have in respect of the processing of your personal data.

Your interests are central to the processing of your personal data. Our basic principles are:

What are personal data?

Personal data is any data that can be traced directly or indirectly to a natural person. This means that data is personal data as soon as it can be traced back to you. Schouten Zekerheid processes your personal data for the reasons stated in this statement. If we do not receive any data from you, we will not be able to serve you.

When may Schouten Zekerheid process personal data?

We may only use your personal data if we have a reason to do so that is specified in the law. The reasons that apply to Schouten Zekerheid are:

- You have given us permission to process your personal data. This can be done, for example, via an application form. You can always withdraw consent. You can send an e-mail to our Data Protection Officer to do so. You will find the contact details below. A withdrawal takes effect from the moment we receive it from you. Withdrawal with retroactive effect is not possible.
- The processing is necessary for the performance of an agreement that we conclude with you or on your behalf. This is the case as soon as you use our services. In order to properly advise you about your insurance policies, to mediate in insurance for you and to manage your insurance policies, we need personal data from you.
- The processing is necessary to comply with a legal obligation that applies to us.

What does Schouten Zekerheid use your personal data for?

Schouten Zekerheid uses your personal data only for the purpose for which it is collected. We collect your personal data only for the following purposes:

- Advising clients and potential clients on employee benefits, financial planning and insurance in the broadest sense.
- Assessing and accepting (potential) customers.
- Entering into and executing agreements with a client.
- Managing client relationships.
- Collect, transmit and manage necessary data to insurers/pension providers/financiers and experts/expert agencies for entering into and executing (insurance) agreements.
- Settling payment transactions.
- Settling and recording claims.
- Meeting legal obligations.
- Ensuring the security and integrity of the industry.
- To combat, prevent and detect (attempted) (criminal) conduct directed against the industry to which Schouten Zekerheid belongs, the group to which Schouten Zekerheid belongs, Schouten Zekerheid itself and its clients and employees.
- Strategic and marketing purposes.

With whom does Schouten Zekerheid share your personal data?

We will never sell your personal data. We only share your personal data if this is necessary for one of the purposes we have described in the previous paragraph. These may be the following parties:
- Insurance companies.
- Pension funds.
- Re-integration companies.
- Occupational health and safety services.
- Financial institutions.
- (Damage) Experts.
- National Road Transport Agency (RDW).
- Collection agencies.
- Tax Authorities.
- Regulators.

We use the Stichting CIS (Central Information System of Insurance Companies operating in the Netherlands) to consult and record your claim and insurance information. We also have reported claims registered with Stichting CIS. We do this to manage risks and prevent fraud. More information and the privacy regulations can be found at www.stichtingcis.nl.

 

How does Schouten Zekerheid treat your personal data?

We handle your personal data with care and ensure that it is properly secured. In addition, we adhere to the following rules:
- We train our staff properly so that we know how to process your data as securely as possible.
- We do not retain data longer than necessary. In doing so, we monitor the statutory retention periods. Policy and claim files are retained for 7 years after termination. Policy files for insurance policies with a liability component are kept for 20 years. In the case of liability insurance for companies or professions or environmental damage insurance, the retention period is 50 years.
- We do not process your data outside the European Union. Within the European Union, as of May 25, 2018, the same Privacy Law applies. Therefore, our servers are not located outside the European Union. When you visit our website and consent to the placement of cookies, the data collected is stored in the United States.
- We employ a Data Protection Officer. The Data Protection Officer is an internal supervisor and monitors our compliance with privacy laws and regulations.

What rights do you have?

When you visit our website, we process personal data with cookies. You can read what cookies are and how we handle them in our cookie statement.

You have certain rights regarding the use of your personal data. We describe your rights below.
- Right of inspection: you may ask us what personal data we hold about you and for what purposes it is used. No reason needs to be given for the inspection request. The right to inspection concerns only inspection of your own data.
- Right to correction: if your personal data is incorrect or incomplete, you may ask us to correct or supplement the personal data in question. This also applies if the data is used for a purpose other than that for which it was collected or is otherwise in violation of a law.
- Right to oblivion: you may request us to delete your data in some cases. For example, when there is no good reason (anymore) to process your data.
- Right of opposition: if special personal circumstances can justify opposition to the processing of personal data, you may ask us to delete or anonymize your personal data.
- Right to transferability of personal data: if the personal data you have provided are processed automatically and on the basis of your consent or an agreement, you have the right to receive a copy in a structured, commonly used and readable form. The personal data will be transferred directly to a new party upon your request.

What are personal data?

Schouten Zekerheid processes your personal data for the reasons stated in this statement. If we do not receive any data from you, we cannot process your application.

What does Schouten Zekerheid use your personal data for?

Schouten Zekerheid collects and processes applicant data (required and optional) for the purpose of the recruitment and selection process. The applicant data stored in the database are: applicant contact details (name and address, e-mail address, gender, language, applicant's education) and employment history (previous employers, references, etc.). We do not use this data for other purposes without permission.

It should be noted that if you provide unsolicited sensitive personal information to Schouten Zekerheid , you thereby consent to Schouten Zekerheid using it for recruitment purposes.

How long does Schouten Zekerheid keep your data?

Schouten Zekerheid retains applicant data during and after the recruitment and selection procedure. After completion of the recruitment and selection procedure, applicant data will be retained for a maximum of 4 weeks, unless we enter into an employment agreement with each other. The legislation (on data retention) is always consulted and complied with in this regard. After the period in which the applicant's data is kept has expired, it is completely removed from Schouten Zekerheid 's system. In the case of a job application, with permission, we keep the personal data in portfolio for 12 months.

Agreement

The applicant consents to the processing of personal data within Schouten Zekerheid and its group companies for the purposes of the recruitment and selection process. The applicant may withdraw this consent at any time.

Schouten Zekerheid reserves the right to make changes to this privacy statement. It is recommended that you consult this applicant privacy statement regularly so that you are aware of these changes.

At your request we will remove your data from our database before the 12-month retention period.
